Job Description

We are seeking a detail-oriented and proactive Transactional Legal Secretary to join a dynamic legal team in Irvine. This role offers a competitive salary range of $75,000 to $90,000 and is ideal for a candidate who thrives in a fast-paced transactional environment, providing high-level administrative and client support to attorneys and timekeepers.

Responsibilities
* Provide comprehensive administrative and secretarial support to transactional attorneys and legal staff
* Prepare, draft, edit, and proofread legal documents including agreements, contracts, leases, and correspondence
* Manage attorney calendars, including scheduling meetings, conferences, and travel arrangements
* Handle client communications with professionalism and a high level of service
* Assist with transactional closings, including organizing signature packets, preparing closing binders, and coordinating final document execution and distribution
* Maintain client intake processes and ensure compliance with conflict check procedures
* Input attorney and staff time entries and prepare expense reports
* Coordinate billing processes, including invoicing and follow-up as needed
* Maintain electronic and physical files in accordance with firm records management systems
* Manage contact lists and assist with large-scale mailings and distributions
* Support additional projects and overflow work as assigned

Qualifications
* Minimum of 3 years of legal secretarial experience, preferably in transactional law
* High school diploma or equivalent required; additional administrative or technical training preferred
* Strong knowledge of legal terminology, document formatting, and transactional processes
* Proficiency in Microsoft Word and Outlook required; working knowledge of Excel and PowerPoint is a plus
* Experience with document management and billing systems such as iManage or Elite 3E preferred
* Excellent written and verbal communication skills
* Strong organizational skills with the ability to multitask and prioritize effectively
